Purpose of this policy

Sagacity Outreach Ministries wants concerns to be heard, considered fairly and used to improve its work. This policy sets out how to complain about ministry services, conduct, communication, access, moderation or decisions.

Questions, prayer requests and ordinary requests for help are not automatically complaints. You can say clearly when you want an issue handled under this policy.

Urgent and specialist concerns

If someone is in immediate danger, call 999. Do not wait for the complaints process.

Safeguarding concerns follow the Safeguarding policy. A data-protection concern may also involve the rights and external routes described in the Privacy information.

Using this process does not prevent you from contacting the police, a regulator, a local authority or another appropriate body.

How to raise a complaint

Use Contact & Support and choose “General enquiry”, or email hello@sagacitynetwork.net with “Complaint or concern” in the subject.

Explain what happened, when it happened, who or what was involved, any action already taken and the outcome you are seeking. Share only information relevant to the complaint.

You may raise a concern without giving your name, but anonymity can limit the ability to clarify facts, provide an individual response or take action.

Initial handling

Your complaint will be acknowledged, assessed for immediate risk and kept away from anyone whose involvement would create a material conflict of interest.

A data-protection complaint will be acknowledged within 30 days of receipt, investigated without undue delay, and you will be kept informed and told the outcome. A rights request made within a complaint keeps its own legal timescale.

The person handling your complaint will explain the next practical step and ask only for information needed to understand the issue. Complex concerns may take longer, need external advice or pause while another process takes priority.

A fair review

The review considers relevant records and gives the people affected a reasonable opportunity to give their account. Conclusions distinguish verified facts, unresolved points and matters of judgement.

Information is shared only where needed for the review, safety, legal advice or a required external report. Confidentiality cannot be promised where responsible action requires disclosure.

Outcome and further review

The response explains the conclusion and any action that can appropriately be disclosed. Outcomes may include clarification, an apology, correction, restored access, changed practice, training, a conduct response or no further action.

If you believe a material point was overlooked or the process was not fair, you may ask for a further review and explain why. Where practical, that review will be handled by someone who was not responsible for the first conclusion.

Records and learning

Complaint records are factual, access-restricted and kept only as long as needed for the complaint, related duties and organisational learning.

Patterns are reviewed without exposing unnecessary personal information. Lessons may lead to changes in policy, training, communication, access controls or the design of the service.
