How we use and protect your information

We collect only what we need to respond to you, administer Speak, Lord and care for the ministry relationships you choose to have with us. Registration never automatically adds you to a marketing list.

Who is responsible for your information

Sagacity Outreach Ministries is an outreach ministry of Sagacity Network Ltd. Sagacity Network Ltd is the data controller. It is registered in England and Wales under company number 15712287, with its registered office at 36 Pendle Drive, Basildon, Essex, United Kingdom, SS14 3LT.

What we collect and why

Event registration requires your name, email address and registration consent so that we can reserve and administer your place. Telephone, church or fellowship, ministry role, access needs and dietary information are optional. The Contact Centre receives the name, contact details, enquiry category and message that you choose to provide.

We use ordinary contact and event information because it is in our legitimate interests to organise the event you asked to attend, respond to enquiries and protect the service from misuse. Where information reveals religious beliefs, health, access or dietary needs, we rely on your explicit consent. You can withhold optional information or withdraw that consent, although this may limit the support we can arrange.

Event emails and ministry updates

Operational emails may be used to confirm and administer your registration. The first successfully delivered email may include a separate invitation to receive ministry news, teaching resources and future event announcements. That invitation is optional. We send ministry updates only after you use the separate confirmation link, and every update must provide an unsubscribe route.

Who can access it

Access is limited to approved Sagacity Outreach Ministries leaders and event-team members who need the information for their role. Supabase provides the protected database and authentication service, Vercel hosts the website, and an approved email provider processes addresses only when an email is sent. These providers act under contractual data-protection terms. Where a provider processes information outside the UK, we use the provider’s recognised transfer safeguards. We do not sell personal information.

How long we keep it

Speak, Lord registration and attendance information is scheduled for review on 21 February 2027, three months after the event. Access and dietary information will be removed or minimised when it is no longer needed, unless an incident, safeguarding concern or legal claim requires a longer record. General enquiries are reviewed after 12 months without meaningful contact; prayer and pastoral enquiries are reviewed after six months. Email subscription records are kept while you remain subscribed, with a minimal opt-out record retained when needed to ensure we honour an unsubscribe request.

Your choices and rights

Depending on the reason we use your information, you may ask for access, correction, deletion, restriction or portability, or object to its use. You can withdraw consent at any time without affecting earlier lawful use. We do not use these forms for solely automated decisions with legal or similarly significant effects.

Contact us first so we can put things right. You also have the right to complain to the Information Commissioner’s Office.
